CloseFlow Terms of Service
Thank you for choosing CloseFlow. These Terms of Service ("Terms") describe the agreement between you and CloseFlow ("we," "us," or "our") when you use our website and applications (the "Service"). CloseFlow is a business management platform built specifically for pressure washing companies — helping you create estimates, schedule jobs, manage customers, send invoices, and get paid faster.
We wrote these Terms in plain English. We aim to be honest, fair, and transparent, and we will not include clauses designed to mislead or take advantage of you. If anything is unclear, please contact us through the support system inside the app.
1. Accepting These Terms
By creating a CloseFlow account or using the Service, you agree to these Terms. If you are entering into this agreement on behalf of a business, you confirm that you have the authority to bind that business.
When you create your account, you will be asked to acknowledge that you accept the current version of these Terms. We record the version you accepted and the date of your acceptance.
2. Who May Use CloseFlow
You may use CloseFlow if:
- You are at least 18 years old, or the age of majority in your jurisdiction.
- You can form a legally binding contract.
- You are not prohibited from using the Service under applicable law.
CloseFlow is designed for pressure washing businesses. You are responsible for making sure your use of the Service complies with your local laws and the regulations that apply to your trade.
3. Your Account & Authentication
You can sign in to CloseFlow using:
- Email and password — protected by a password you choose.
- Google Authentication — a secure sign-in option through your Google account.
- Admin Login — a separate entrance for CloseFlow staff and employees who help manage the platform.
When you register with email and password, we verify your address with a one-time code before activating your account.
You are responsible for keeping your login credentials secure and for all activity that happens under your account. If you believe your account has been compromised, contact us immediately.
4. Roles & Permissions
CloseFlow uses role-based access to keep the right information in the right hands:
- Owner — the primary account holder with full control over the business workspace, billing, settings, and employee access.
- Employees — team members you invite, such as managers, support staff, or analysts. Each employee role has a defined set of permissions.
You control which employees can access which parts of your workspace. Employees act on your behalf, and you are responsible for their use of the Service under your account.
On the CloseFlow admin side, our staff also operate under role-based permissions, so only authorized team members can access sensitive areas of the platform.
5. Your 14-Day Free Trial
New CloseFlow accounts start with a 14-day free trial. During the trial, you can explore the features included in your selected plan at no cost.
The trial is intended for genuine evaluation. You do not need to add a payment method to begin. At the end of the trial, your paid subscription begins only if you have added a payment method and chosen a plan.
6. Subscriptions & Billing
Plans. CloseFlow offers subscription plans (for example, Starter, Pro, and Business). Each plan's features and pricing are shown on our pricing page and within the app.
Billing cycles. You may choose monthly or annual billing. Annual billing is charged upfront for the full year.
Payments. We process payments through Stripe, a trusted payment provider. We do not store your full card details on our servers.
Upgrades. You can upgrade to a higher-tier plan at any time. When you upgrade, we apply the change and adjust billing fairly based on the time remaining in your current cycle.
Downgrades. You can downgrade to a lower-tier plan. Downgrades take effect at the end of your current billing cycle, so you keep the features you paid for until then.
Cancellation. You can cancel your subscription at any time. Cancellation stops future renewals, and you retain access until the end of the period you have already paid for.
A separate Subscription & Billing Policy provides more detail. Where this summary and that policy differ, the more specific policy controls.
7. The CloseFlow Workspace
CloseFlow gives you tools built around the pressure washing workflow:
- Customers — manage your customer records and contact details.
- Quotes (Estimates) — build and send professional estimates for driveway cleaning, house washes, roof washes, fence cleaning, deck cleaning, and more.
- Project Hub (Customer Portal) — a branded proposal page where your customers can review quotes, ask questions, and accept or request changes.
- Invoices — create, send, and track invoices, and accept payment online.
- Analytics — review revenue, quote performance, and invoice trends to understand your business.
You are responsible for the accuracy of the quotes, invoices, and customer information you enter.
8. Merchant Payments & Payout Timing
Customer payments accepted by a business through CloseFlow are processed through the business's connected Stripe account. Stripe, not CloseFlow, determines when payment funds become available and when payouts are deposited into the business's bank account.
New Stripe accounts may experience a longer initial payout period while Stripe completes applicable verification, risk review, and account-processing requirements. Businesses with an existing Stripe relationship or payment history may have different payout schedules. Actual timing varies by account and is determined by Stripe.
CloseFlow does not hold merchant customer-payment funds and does not control or guarantee Stripe's payout timing. Business owners can review their current payout schedule, available balance, and expected payout dates through their Stripe account.
9. Your Customer Data
You own the customer information, quotes, invoices, and business data you add to CloseFlow. We process and store this data to provide the Service to you.
When you send a quote or invoice to your customer through CloseFlow, your customer receives a link to view it. They may also message you or pay an invoice through the Service. We handle that data with care and limit access to what is necessary.
A separate Privacy Policy explains how we collect, use, and protect information.
10. Support Tickets
You can contact our team by submitting a support ticket from within the app. You and our staff can exchange messages, and you may attach files such as screenshots to help us understand your issue.
We aim to respond promptly, though response times may vary.
11. Acceptable Use
You agree to use CloseFlow lawfully and respectfully. You will not:
- Use the Service for any illegal purpose or to harm others.
- Enter information that infringes someone else's rights.
- Attempt to access data or systems you are not authorized to access.
- Misuse the customer portal, invoices, or payment features to deceive anyone.
- Interfere with the Service's security or operation.
We may suspend access if we believe these rules are being broken, and we will communicate with you where we can.
12. Intellectual Property
CloseFlow and its design, features, and branding are owned by us and protected by intellectual property laws. We grant you a limited license to use the Service according to these Terms.
The content you upload — such as your logo, customer data, quotes, and invoices — remains yours.
13. Privacy
We respect your privacy. Information about how we handle personal data is in our Privacy Policy, which is part of your relationship with us.
14. Service Availability
We work hard to keep CloseFlow reliable and available. However, the Service may occasionally be unavailable due to maintenance, updates, or factors outside our control. We do not guarantee uninterrupted access.
We may update, add, or remove features over time. When changes meaningfully affect how you work, we will let you know.
15. Disclaimers
The Service is provided "as is" and "as available." To the fullest extent permitted by law, we make no warranties — express or implied — about the Service being error-free, uninterrupted, or fit for a particular purpose.
You are responsible for your business decisions based on information in CloseFlow, including pricing, quotes, and analytics.
16. Limitation of Liability
To the fullest extent permitted by law, CloseFlow's total liability for any claim arising from the Service is limited to the amount you paid us in the 12 months before the claim, or fifty US dollars ($50), whichever is greater.
We are not liable for indirect, incidental, or consequential damages, or for loss of profits, data, or customers, except where the law does not allow this exclusion.
Nothing in these Terms limits liability that cannot be limited under applicable law.
17. Indemnification
You agree to indemnify and hold CloseFlow harmless from claims arising from your use of the Service, your violation of these Terms, or your infringement of others' rights, to the extent permitted by law.
18. Termination
You can stop using CloseFlow and cancel your subscription at any time.
We may suspend or terminate access if you breach these Terms, if your account remains unpaid, or if we stop offering the Service. Where possible, we will give you reasonable notice and a chance to address the issue.
On termination, your right to use the Service ends. We will retain your data for a reasonable period so you can export it, after which we may delete it.
19. Changes to These Terms
We may update these Terms as our Service and practices evolve. When we make material changes, we will notify you (for example, by email or an in-app message) and update the version number and effective date shown with this document.
If you continue using CloseFlow after a change takes effect, you accept the updated Terms. If you disagree with a change, you can cancel your subscription.
20. Feedback
We welcome your feedback and suggestions. If you share ideas with us, we may use them to improve CloseFlow without any obligation to you.
21. Governing Law & Disputes
These Terms are governed by the laws of the jurisdiction where CloseFlow is established, without regard to conflict-of-law rules.
Before any formal dispute, we ask that both parties try to resolve the issue through good-faith discussion, including through our support team. If we cannot resolve it informally, the dispute will be resolved in the courts of that jurisdiction.
22. Contact
If you have questions about these Terms, your account, or the Service, you can reach us through the support ticket system inside CloseFlow.
