CloseFlow Refund Policy
CloseFlow Refund Policy
Version 1.0 · Effective July 12, 2026
This Refund Policy explains how CloseFlow handles refund requests for subscription payments. It works alongside our Terms of Service and Subscription & Billing Policy, and it never contradicts them. Our goal is simple: handle every billing concern honestly, consistently, and fairly — protecting both you and CloseFlow.
All subscription payments are processed by Stripe. Refunds, when approved, are issued through Stripe back to your original payment method.
1. Free Trial
- Every CloseFlow account starts with a 14-day free trial, and no payment is required to begin.
- Because no payment is collected during the trial, there is nothing to refund.
- You may end your trial at any time. Simply do not subscribe, and your paid access will end when the trial expires. Your data stays saved.
- If you subscribed during your trial and then changed your mind, see the monthly or annual sections below — your situation is reviewed based on when you subscribed and when you request the refund.
2. Monthly Subscriptions
- Monthly subscriptions are billed in advance, and service access begins immediately when your payment is processed.
- Because you receive full access to CloseFlow for the entire month you have paid for, refunds are generally not issued after a monthly renewal unless there are exceptional circumstances.
- Exceptional circumstances are reviewed individually. For example, if you were accidentally charged after you believed you had canceled, or if a clear billing error occurred, we will look into it fairly.
- The best way to avoid an unwanted monthly charge is to cancel at the end of your period before the renewal date. End-of-period cancellation stops all future billing while keeping your access through the period you have already paid for.
3. Annual Subscriptions
- Annual subscriptions receive discounted pricing (about 17% off — effectively two months free) in exchange for a yearly commitment.
- Because of this commitment and the discount applied, annual payments are not automatically refundable in full once the billing period has begun.
- Refund requests for annual subscriptions are reviewed fairly and on a case-by-case basis, especially when the request is made shortly after the annual renewal and where a partial refund may be appropriate.
- Where required by applicable law (for example, certain consumer protection or distance-selling rules), we will honor the refund you are legally entitled to.
- If you are unsure, open a support ticket with the details — we will review your situation honestly and respond with a fair decision.
4. Immediate Cancellation
- Choosing "Cancel Immediately" removes your paid access right away. You will not be billed again.
- Selecting immediate cancellation does not automatically create a refund for the time remaining in your current billing period. You have already received access for the period you paid for, and canceling immediately is your choice to stop using it early.
- If you would rather keep what you have paid for, choose end-of-period cancellation instead — that way you continue to use CloseFlow through the end of the period you already paid for.
- If you believe there are exceptional circumstances surrounding your immediate cancellation, you may still submit a refund request (see How to Request a Refund below) and we will review it individually.
5. End-of-Period Cancellation
- Choosing "Cancel at End of Period" keeps your full access until the end of your current billing period or trial.
- No additional charges occur after cancellation. Your subscription simply runs out the clock on what you have already paid for.
- Because you receive the full value of the period you paid for, end-of-period cancellations are not eligible for a refund of the remaining time.
- You can reactivate a period-end cancellation at any time before the period ends if you change your mind.
6. Billing Errors
If CloseFlow or Stripe accidentally charges you incorrectly — for example, a duplicate charge, a charge for the wrong plan, or a charge after a successful cancellation:
- We will investigate promptly when you report it.
- We will correct the mistake on your account.
- We will issue a refund where appropriate, including full refunds for charges that were clearly made in error.
Billing errors are exactly the kind of situation where refunds are appropriate. Report them as soon as you notice them so we can fix them quickly.
7. Fraudulent Transactions
If you believe your account was charged fraudulently — for example, you did not authorize the charge or your card was used without your permission:
- Contact support immediately (see How to Request a Refund below).
- We will investigate together with Stripe, and where fraud is confirmed, we will reverse the charge and help secure your account.
- Because card security is handled by Stripe, we may also guide you to contact your card issuer. Acting quickly helps everyone resolve the situation faster.
8. Chargebacks
- A chargeback is when you ask your card issuer to reverse a charge directly. You always have that right.
- However, please contact CloseFlow before initiating a chargeback whenever possible. Many billing concerns can be resolved faster directly with us, without the delays and additional processes that chargebacks involve.
- When you reach out first, we can often investigate, correct, and refund within days — typically faster than a chargeback cycle.
- If a chargeback is already in progress, please still open a support ticket so we can coordinate with Stripe and your card issuer to resolve it cleanly.
9. How to Request a Refund
You can request a refund by opening a support ticket:
Settings → Help & Support
When creating the ticket:
- Category: Billing
- Include:
- your account email
- the invoice or payment date
- the reason for your request
The more detail you provide, the faster we can review your request fairly. Mark the ticket high priority if the matter is urgent.
10. Review Timeline
- Refund requests are typically reviewed within 3–5 business days of being submitted.
- If your refund is approved, Stripe may require additional processing time before the funds appear on your card or bank statement. This is outside CloseFlow's control and depends on your bank.
- We will keep you informed throughout the review and let you know the outcome as soon as a decision is made.
- If we need more information from you, the review may take longer — respond promptly to speed it up.
11. Changes to this Policy
- This Refund Policy may evolve as CloseFlow grows. When it does, we publish a new version with a new version number and effective date.
- New versions appear under Settings → Legal → Refund Policy, and past versions are retained in the admin Legal Center.
- For material changes, we will notify you in advance through an in-app notice or email where appropriate.
- Your continued use of CloseFlow after the effective date means you accept the updated policy.
A note on fairness
This policy is not designed to avoid refunds at all costs. It is designed to handle every billing concern honestly, consistently, and fairly — protecting both you and CloseFlow. When a refund is the right outcome, we will issue it. When access has been delivered and used as agreed, we will explain our decision clearly and treat you with respect throughout.
If you ever feel a billing decision was handled unfairly, tell us in your support ticket and we will take another look.
Contacting us
