CloseFlow Subscription & Billing Policy
CloseFlow Subscription & Billing Policy
Version 1.0 · Effective July 12, 2026
This policy explains how CloseFlow subscriptions work — the free trial, our plans, monthly and annual billing, upgrades and downgrades, cancellations, and what happens when a payment fails. We wrote it in plain English so you always know what you are paying for and what choices you have.
All subscription payments are processed by Stripe, a PCI-DSS compliant payment processor. CloseFlow never sees or stores your full card number.
The 14-day free trial
Every CloseFlow account starts with a 14-day free trial.
- No credit card is required to start your trial. You can explore the platform before deciding to subscribe.
- The trial gives you access to the plan you select during signup so you can see how CloseFlow fits your business.
- You will see a countdown of the days remaining in your trial on your Subscription page.
- We send trial reminders before your trial ends (typically 7, 3, 1, and 0 days before) so you can decide in time.
- When your trial ends, you will need to choose a plan and enter a payment method to keep using CloseFlow. If you do not subscribe, your paid access ends, but your data stays saved so you can subscribe later and pick up where you left off.

Monthly and annual billing
You can pay for any plan monthly or annually.
- Monthly billing charges your card once a month on your renewal date.
- Annual billing charges your card once a year for the full annual price.
- Annual discount: paying annually saves you about 17% — effectively two months free compared with paying monthly. For example, Pro is $59/month ($708/year if paid monthly) but $590/year on annual billing, saving you $118 per year.
- You choose your billing cycle when you subscribe, and you can switch between monthly and annual at any time (see below).
How Stripe handles your payments
- Card details never touch CloseFlow. When you subscribe or add a payment method, you enter your card information on Stripe's secure, hosted pages. CloseFlow receives only a masked version of your card (brand, last four digits, expiration date) and Stripe's internal identifiers — never your full card number.
- Stripe Checkout is used to start a new subscription.
- The Stripe Customer Portal is where you manage your payment methods, view invoices, and download receipts. You can open it from your CloseFlow Subscription page.
- All billing — charges, renewals, refunds, and payment-method updates — is handled by Stripe under its terms and security standards.
Payment methods
- You can add, update, or remove your payment method at any time through the Stripe Customer Portal, linked from your Subscription page.
- When you add or update a card, CloseFlow refreshes your account to show the new card on file (brand and last four digits).
- If you have no card on file, your Subscription page will prompt you to add one.
- We accept the payment methods supported by Stripe in your region, which typically include major credit and debit cards.
Upgrading your plan
You can upgrade to a higher-tier plan at any time from your Subscription page (for example, moving from Starter to Pro, or Pro to Business).
- When you upgrade, CloseFlow swaps your subscription to the new plan's price on your existing subscription — we do not create a second subscription or charge you a duplicate fee.
- Proration applies. Stripe automatically calculates the price difference for the time remaining in your current billing period. You are charged (or credited) only the prorated difference.
- Higher-tier features become available immediately after the upgrade.
Downgrading your plan
You can downgrade to a lower-tier plan at any time (for example, moving from Business to Pro).
- Like upgrades, downgrades swap the price on your existing subscription — no second subscription is created.
- Proration applies. Because a downgrade lowers your cost, Stripe issues a prorated credit for the unused time on your old plan. That credit is applied to your future invoices.
- Some features of your previous plan may become unavailable after the downgrade takes effect (for example, if you move below a plan's user limit). We will not remove your data, but access to plan-specific tools may change.
Switching between monthly and annual billing
You can switch your billing cycle at any time from your Subscription page.
- Monthly to annual: your subscription is moved to the annual price. Stripe prorates the difference for the time remaining in your current monthly period, and you begin annual billing.
- Annual to monthly: your subscription is moved to the monthly price. Because you prepaid for a year, Stripe applies a prorated credit for the unused annual time toward your upcoming monthly invoices.
- In both cases, the switch happens on your existing subscription — no second subscription is created.
How proration works
Whenever you change your plan or billing cycle mid-period, Stripe calculates a proration — a fair, time-based adjustment:
- Upgrades and monthly→annual switches usually result in an additional charge for the difference, prorated to the days remaining in your billing period.
- Downgrades and annual→monthly switches usually result in a credit for the difference, applied to future invoices.
- Prorations are calculated automatically by Stripe based on the exact time remaining. You will see the adjustment on your next Stripe invoice.
- We never charge you twice for the same period.
Canceling your subscription
You can cancel anytime from your Subscription page. There are two ways to cancel:
Cancel at end of period (default)
- Your subscription is marked as canceled, but you keep full access until the end of your current billing period or trial.
- You will not be billed again.
- Your data remains saved.
- If you change your mind before the period ends, you can reactivate your subscription and continue without interruption.
Cancel immediately
- Your paid access is removed right away.
- You will not be billed again.
- Your data remains saved so you can resubscribe later.
- No refund is issued for the remaining time in your current period (see our Refund Policy for details).
After cancellation, you can still log in and resubscribe at any time. Canceling does not delete your account or your business data.
Billing notifications
We keep you informed about your billing:
- Trial reminders are emailed before your free trial ends (typically 7, 3, 1, and 0 days prior) so you have time to subscribe.
- Cancellation confirmation is emailed when you cancel, explaining whether access ends at period end or immediately.
- Stripe invoices and receipts are issued by Stripe for each charge and are available in the Stripe Customer Portal.
- You can always check your current status, next billing date, and payment method on your CloseFlow Subscription page.
Failed payments and past-due accounts
If a payment fails (for example, an expired card or insufficient funds):
- Stripe retries the payment automatically according to its retry schedule.
- Your CloseFlow account may show a "Past Due" status while payment is being retried.
- We will attempt to notify you so you can update your payment method.
- To restore your account, update your payment method from your Subscription page or the Stripe Customer Portal. Once a successful payment goes through, your access continues.
- If payment ultimately cannot be collected after Stripe's retry attempts, your subscription may be canceled. You can resubscribe at any time with a valid payment method.
Taxes
- On your CloseFlow subscription: any applicable sales tax, VAT, or similar taxes on your CloseFlow plan are determined and collected by Stripe based on your location and current tax laws. The tax line, if any, appears on your Stripe invoice.
- On your own customer invoices: the tax rate you configure in your business profile applies to the quotes and invoices you send to your own customers. That rate is separate from and unrelated to the tax on your CloseFlow subscription.
- CloseFlow does not provide tax advice. For questions about your tax obligations, consult a qualified tax professional.
Reactivating a canceled subscription
- If you canceled at the end of your period and that period has not yet ended, you can reactivate your subscription from your Subscription page and continue without interruption.
- If your subscription has already fully expired, you can start a new subscription at any time. Your data will still be there.
Your billing rights
As a CloseFlow subscriber, you have the right to:
- Know what you are paying — clear plan pricing and a visible next billing date.
- Change your plan or billing cycle at any time, with fair proration.
- Manage your payment methods through the Stripe Customer Portal.
- Cancel at any time — at period end or immediately — without being locked in.
- Reactivate a period-end cancellation before it takes effect.
- Access your billing history through the Stripe Customer Portal.
- Request a refund in line with our Refund Policy (published separately).
- Get help with any billing issue through support.
Getting help with billing issues
If something looks wrong with your bill, your payment method, or your subscription status:
- Check your Subscription page — it shows your current plan, status, next billing date, and card on file. Use the "Sync with Stripe" button to pull the latest information if anything looks out of date.
- Visit the Stripe Customer Portal to review invoices and manage your card.
- Open a support ticket from Settings → Help & Support, and choose "billing" as the category. Mark it high priority if it is urgent. Include your plan, the date of the issue, and a short description of what happened.
We will work with you and, when needed, with Stripe to resolve the issue fairly and promptly. We will not charge you for problems caused by errors on our side.
Changes to this policy
We may update this Subscription & Billing Policy as our plans or billing processes evolve. When we do:
- We publish a new version with a new version number and effective date.
- The active version is shown in the app under Settings → Legal → Subscription & Billing Policy.
- For material changes (such as a price increase), we will notify you in advance by email or in-app notice.
- Past versions are retained in the admin Legal Center.
- Your continued use after the effective date means you accept the updated terms.
